Stalled deals: get an alert when a sales rep misses a response deadline

A solters platform module for sales leaders: set an event, response deadline, and working hours. If the deadline is missed, the sales leader receives a notification with the deal and person responsible; CRM actions are enabled separately.

3 steps: rule → signal → action
Call not foundafter the threshold — alert to the sales leader
Response time for a lead

A lead has arrived. What happens next?

The rule sets the response time for a lead. Then they count the minutes: the answer is within the threshold - the work is going according to plan; the threshold has passed - the signal has already been received by the manager.

Reaction within the rule
The response came before the threshold

The sales rep responded to the lead before the deadline: the rule was not breached, so no alert is sent.

Lead09:00
call09:07
threshold 15 min.09:15
call in 7 minutes 15 minute threshold not violated
The reaction threshold has passed
No response — the deal stalls

In this example, only the call criterion is enabled. No sales rep call is recorded by the deadline. The stalled deal triggers an alert to the sales leader when the threshold expires, instead of appearing only in a monthly report.

Lead09:00
threshold 15 min.09:15
no reaction09:15
threshold expired at 09:15 The call criterion was not met — alert to the sales leader

An alert prompts a review while the deal is still open.
The reason and the next step are determined by the manager: the platform makes the violation visible in a timely manner.

Rule → signal → action

From reaction rule to specific action

Set the deadline and working hours, select the funnel and event - analyze the signals to check the situation before the loss, rather than looking for lost deals at the end of the month.

For example, only the manager's call is selected. Commentary and stage change are not included as criteria. The task and comment in CRM are included separately, transmission is disabled. Having a call does not mean a successful conversation.

Set the rule for a specific funnel, not the whole sales team at once

Funnel event, deadline in minutes and working time are three parts of one rule.

  • Trigger event: a new lead, a deal entering a stage, or a task from the bot
  • Threshold in minutes — according to the speed of your process, changes at any time
  • Working days and hours — the countdown proceeds according to the schedule from the rule

What we track: a reaction to an event, as a rule, is not the entire correspondence and not all stages at once.

The sales leader receives an alert instead of waiting for a monthly report

The message contains the deal, the deadline and the person responsible - the issue is closed with one glance.

  • Where: Telegram and MAX - by setting the rule
  • To whom: sales leader or manager — chats are set in the rule
  • What's inside: the deal, elapsed minutes, and who is responsible
What does a manager do with a signal?
SLA · 09:15

Vector LLC deal — no response for 15 minutes against a 15-minute threshold. Responsible: Michael S.

lead · Incoming funnel
CRM

This rule includes a task and a comment: they are added to the CRM. Transmission is turned off.

Optional escalation: additional notification in the configured chat is included separately; a multi-stage chain is not assumed here.

Actions in CRM are included separately

Depending on the rule settings, the platform creates a task, adds a comment to the deal, or reassigns it to another sales rep.

  • Task responsible or manager - the next step is assigned
  • Comment in the deal card—the reason for the signal is visible to the entire team
  • Reassignment of the deal to another sales rep, if specified in the rule

Setting up a rule

Minutes, hours and weekends - according to your rules

An SLA rule is a management decision, not a platform constant: the deadline, schedule and events are set by the manager.

Part 1
Event

A new lead, a deal entering a stage, or a bot task can trigger a rule based on a funnel event.

Part 2
Threshold in minutes

You set the lead response time. The threshold changes when the process or channel changes.

Part 3
Working hours

Days and hours from the rule: time outside the schedule does not burn down the reaction time.

A threshold that is too short creates noise

Signals will come more often than the team has time to respond, and management will stop reading them.

A threshold that is too long risks lost deals

The threshold should be triggered before the client cools down: the deal is lost faster than the monthly report ends.

Where to start. With real command speed: the first signals show where to move the threshold. The rule is adjusted without reworking the process.
Manager's work

What the sales leader does with an alert

Four steps from signal to reaction test. This is a management routine, not a promise of automatic sales.

The task, comment and transfer to the specified manager can be enabled separately. The decision on how to continue communication with the client is made by the person.

One alert — the full deal context

The signal has a deadline, a person responsible and a history - you can sort it out before calling the client, and not after the loss.

Manager's question: who calls first and why didn’t the reaction begin in the first minutes? The task is already in the CRM - the manager checks whether contact with the client has taken place.

One rule: a call after a new lead

  1. Initial data. At 09:00 Moscow time on Monday, a lead is assigned to Michael S. The rule runs Mon–Fri, 09:00–19:00 Moscow time.
  2. Rule. The limit is 15 working minutes. No call by 09:15 breaches the rule; comments and stage changes do not count.
  3. What the sales leader saw. The sales leader gets a Telegram alert with the deal, owner and deadline. This rule also creates a CRM task and comment; reassignment is off.
  4. How to check and act. The sales leader checks CRM and asks Michael what happened. A logged call does not prove a conversation; the system comment is not a call.

Other rules may count comments. Reassignment is separate and does not change the stage.

Self-start

How to try

Start with one task in the platform. If you need help with permissions or setup, please contact us.

Step 1
Create an account

Open the platform registration form. This is access to your account, not ready-made data.

Step 2
Connect CRM

Choose a supported CRM and grant the required access to deals and calls. A CRM administrator may be needed.

Step 3
Configure the module

Select a task: event, threshold, working hours (Moscow time), reaction criterion and recipient. Enable actions in CRM separately.

Step 4
Check the result

Check the event and deadline in CRM, notification receipt and only included actions.

Create an account. For your data, you need a CRM connection, the necessary rights and module settings. Conditions for access to the module are specified separately. Registration does not replace data connection and does not automatically enable the rule.

Further

Take a broader look at sales

One problem is solved here: monitoring the reaction time. This is a module of the single solters platform. Next to it are call assessments, reports and other modules.

FAQ

Questions about SLA monitoring

This solters platform module is for sales leaders and heads of sales. A rule combines a CRM event, allowed response time, working hours, response criterion, and notification recipient.
Only enabled rule criteria count: a call, comment, or stage change. Meeting any one enabled criterion is enough. In this page's example, only a call is enabled; a comment or stage change does not clear the breach. A call alone does not prove that a conversation took place.
The configured recipient gets the notification. Creating a task, adding a CRM comment, and reassigning the deal to a specified sales rep are enabled separately and require the relevant permissions. This is neither intelligent deal allocation nor multi-stage escalation.
The rule sets working days and start and end times in Moscow time. Minutes outside working hours do not count toward the deadline; the remaining time carries over to the next working interval.
Monitoring the deadline does not itself move a deal to another stage. A stage change may be selected as a response criterion, while separately enabled reassignment changes the owner, not the stage. A person decides what to do next with the customer.
Open the platform to create an account. To use your own data, you need a supported CRM, permissions, and module setup. Registration does not mean SLA monitoring is already configured or free. Module terms are provided separately. You can request help through the free diagnostic form on this page.
